Job overview

An exciting opportunity has arisen to come and work within the Poole Central Locality!

The Team Administrator is the face of the team, often being a patients first point of contact with the service.  As a result we are looking for the successful candidate to be friendly, professional and able to work under pressure. 

Previous experience of SystmOne is beneficial but not essential.

Employment in this post requires a Standard Disclosure and Barring Service (DBS) check, which the Trust will cover the cost of. Applicants who subscribe to the DBS update service are able to present a valid DBS certificate instead of requiring a new check.

Main duties of the job

To assist the team by providing clinical and administrative support services.  

To ensure the provision of an effective and efficient secretarial and administrative support including dealing with telephone enquiries, relatives, carers, GPs, Social Workers and other agencies, maintaining good communications between staff members of the Trust and outside representatives using own initiative and managing own workload.

Assisting in the creation of rotas.

To provide a friendly, safe and efficient administrative and office systems service to support the delivery of excellent patient care.

To ensure that patients and contacts with the service are dealt with in a friendly, empathetic and professional manner and to help ensure that the patient’s experience is positive.

To deal with confidential, contentious and urgent material proactively in a sensitive and appropriate manner, exercising analytical skills and sound judgement.

Work as part of an efficient and professional team.

To work systematically and develop communication networks that contributes effectively to the service provided.

Person specification

Educational / Qualifications

Essential criteria
  • Educated to GCSE level or equivalent experience.
  • Knowledge and understanding of data protection and patient confidentiality.
  • Recent previous experience of arranging meetings and minute taking.
Desirable criteria
  • NVQ Level 3 or equivalent in Administration or Customer Service.

Job Specific Experience

Essential criteria
  • Experience of working in an administrative role within a fast-paced environment.
  • Accurate, fast typing and keyboard skills
  • Experience of using Microsoft Office software including Outlook, word processing and spreadsheets.
Desirable criteria
  • Experience of working with or within the NHS in a same or similar role.
  • Experience using SystmOne Electronic Patient Record System.

  • Excellent interpersonal skills with a professional approach in manner and appearance.
  • Effective at team working and interacting and communicating with colleagues.
  • Be able to multitask, perform under pressure within a time frame and deal with competing priorities.
