Job overview

There is a new opportunity for an  Administrative Assistant to provide comprehensive, front desk/administrative support to the Dental Department in Brecon.  The post is permanent and for 37.5 hours per week. However, part time would be considered. 

The post holder will provide first point of contact for the department and will be responsible for a variety of administrative and clerical duties, including managing incoming calls, enquiries and booking of patients.

The post holder will need to have excellent organisational skills and will be required to demonstrate appropriate computer literacy.  

Main duties of the job

Manages incoming telephone calls and enquires, which may be of a complex and sensitive nature, taking messages accurately, forwarding in a timely manner, ensuring confidentiality.

To undertake clerical duties in the form of receiving and booking in patients, recording patient details. To access previous records for patients attending for dental treatment, using the Dental software EXACT.

Communicate with patients to ensure medical history, consent forms and any other relevant information needed are completed on arrival.

Qualifications

Essential criteria
  • Educated to GCSE level or literacy/numeracy L1 or equivalent
  • RSA/OCR II qualification or equivalent demonstratable skills
  • Computer literate and experience of using microsoft packages
Desirable criteria
  • Some knowledge of the Community Dental Service

Experience

Essential criteria
  • Experience of customer service first point of contact support
  • Experience of working as part of a team, or on own initiative
  • Experience of prioritising own workload and meeting deadlines
Desirable criteria
  • Previous experience in similar post

Aptitudeand Abilities

Essential criteria
  • Ability to communicate clearly and effectively, face to face and by telepone
  • Excellent organisational skills
  • Ability to use initiative to defuse difficult situations involving patients

  • Some ability to speak, read and/or write Welsh, or an eagerness to learn.
